Services

Generally, it is the responsibility of KCI to handle assigned day-to-day administrative functions necessary in business operation. This administrative role is spelled out in a detailed, written contract that is reviewed and renewed at regular intervals. Some of the areas of responsibility include:

• Processing paperwork such as membership applications
• Handling supplies
• Coordination of the specialized programs
• Consumer referral services, both telephone and Internet
• Accounting and financial record keeping
• Clerical duties
• Facilitating internal and external communication
• Coordination and planning of meetings and functions

Processing includes a large, ever-changing set of administrative functions. These functions include, but are not limited to, printing & distributing exams, verifying exam payments, grading the exams (an average of 2,000 exams are graded each month), notification of any failures, scheduling re-takes, entering new individual data into the computer database, updating all renewals, drops, or re-instatement inquiries, compiling and maintaining membership directories.

Supply functions include receiving, processing, and shipping any orders for brochures, documents, or directories ordered by qualified firms or individuals for use in their businesses. KCI maintains and monitors all supply inventories in Vancouver.

The IICRC Inspector Program includes review of hundreds of inspections submitted by probationary inspectors. KCI administers and coordinates this review program. KCI also administers the IICRC Inspectors Quality Assurance Program designed to keep the level of IICRC certified inspectors on the industry’s leading edge.

The Coordination of more than 100 approved Certification Instructors and Schools involves maintaining complete records of which classes are held, where they are taught and by whom. Applications for new instructors or schools seeking approval need to be processed as well. A comprehensive monitoring process of all classes and instructors is maintained on a continuing basis. Every other year a multi-day instructor’s symposium (train the trainer) is organized with administrative support from KCI.

KCI staff works directly with the clients designated representatives to respond to and deal with any complaints or violations of organizational rules and regulations, policies and procedures, trademark usage guidelines, and code of ethics.

KCI specialists handle thousands of calls every month on the Consumer Referral lines and web sites resulting in referrals for qualified service companies. The computer database used for the referral line is updated on an average of twice each month to ensure current information is available. KCI maintains up to date sophisticated mapping software to provide an accurate comprehensive referral service our clients.

All Financial Records must be accurately maintained. This includes all billing and receiving of Dues or fees, tracking of all income from supply sales, expenses for meetings and promotional efforts, and other operating expenses. KCI maintains regular contact with the elected officers (especially the president and treasurer) on all financial matters pertaining to the organization. KCI is ready to assist when, an outside accounting firm is contracted to audit all records as is the practice of many membership organizations. Beginning with the 1998 fiscal year through the 2005 fiscal year a complete audit was performed each year of all major client records and all accounts were found to be in excellent order.

Every day there are numerous clerical duties to be performed. The telephone lines ring, letters are written, e-mail answered, photocopies made, faxes sent, and problems solved by KCI specialists. KCI handles over 25,000 phone calls each year (not including the referral line) from members, registrants, instructors, committee chairpersons, board members, task force volunteers, and consumers. KCI operates a custom, fully backed up, data base record keeping and filing system so no documentation is ever lost.

Industry Relations through attendance at industry events, speaking at special gatherings, printing and distributing newsletters, and public relations are all part of KCI’s regular commitment to the Provide quality service and image for our clients.

KCI provides for the maintenance and updating of the Web site information, calendars, and data via the best in internet communication technology. Electronic discussion board technology used by all functioning committees is provided and maintained by KCI. Web site postings of all event schedules and listings are maintained and kept current by KCI technical staff. Industry events, newsflashes, and special communications are posted and maintained on the client web site.

Meeting Coordination for special events such as Board of Directors meetings, executive committee meetings, task force and standing committee meetings are handled on a regular basis by KCI.

• A 17 Computer networking system and servers to maintain and process all data and records

• High speed collating photocopying equipment for producing minutes, forms, Board communications, committee reports, class schedules, instructor and school listings, and the like

• Specialized sorting, folding, and stuffing equipment for monthly billings, annual membership renewals and other key mailings

• High performance postage processor for efficient mailing of Board communications, membership lists, renewal statements, newsletters, and daily correspondence

• State of the art telephone and fax systems for both regular and specialized calling such as conference calls, broadcast faxes, and referral lines

• Electronic mail boxes (e-mail) for modern electronic communication are provided at no charge for client contact persons, officers, and committee chairpersons compliments of KCI

• KCI provides in-house computer terminal links and daily direct service from major freight carriers (UPS, FEDEX) for fast efficient shipping of goods and materials such as supply orders, exhibit materials, or special projects
